Data Privacy NoticeIntroductionClare Nash Architecture Ltd. (CNA) (‘we’) promises to respect any personal data that you share with us or is given to us from other organisations and is kept safe. We will provide clear details about what we will use your data for upon collection of it and will not use it for anything you would not reasonably expect. From May 2018 we will be updating our systems to be compliant with new data protection regulations. As such, we will only send marketing communications (i.e. newsletter) to those who have explicitly stated they are happy for us to do so. We will also communicate with those who are of ‘legitimate interest’ about our projects etc. How do we collect your information?

  1. When you directly give it to us
  • By signing up to our mailing list via our website
  • By asking us to sign you up to our mailing list
  • By signing an appointment document to work with us
  • By emailing us with an enquiry
  • By filling out the ‘contact us’ sheet on our website

When signing up to or being signed up to our mailing list, we will collect your name and email address.When signing an appointment document to work with us, we usually collect; your name, address, phone number and email address. We may also ask you for additional information on the ‘Pre-design questionnaire’. All emails sent to us, including attachments, are monitored by the Director’s email. If you email us with a potential project enquiry we will ask for personal data such as; your name, email, phone number and address in order to contact you to follow up about your project. Via the website when you fill out our ‘Contact Us’ sheet where we ask for email, telephone number and address.

  1. When you give it to us indirectly

Your information may be shared with us via a third party such as an engineer, if you have given your explicit consent for them to do so.

Similarly to most, we use ‘cookies’ to help us create our sites and their usability better. See our Cookie Policy for more. We use Google Analytics to collect standard internet log information and details of visitor behaviour patterns. We do this to understand interest in specific pages, to see how the site is being used and to help us make improvements to our website. The information gathered does not track identity and we do not allow Google to try and find out the identities of our visitors either.

  1. Social Media

We will comply with each platform’s privacy policy. We may use social media platforms like Facebook, Twitter, Pinterest and Instagram to engage with you on, if permission is granted by you and within the platform’s permission regulations. We want you to know that we take your privacy very seriously and will never swap or sell your information with third parties. Before sharing your data with required external persons e.g. engineers, we will ensure that we have received your explicit consent to do so. What personal data do we collect and how do we use it?We collect data for two main reasons;

  1. Marketing i.e. our quarterly newsletter
  2. Projects i.e. client information and communication

If you sign up to or ask CNA to sign you up to our newsletter, we will collect your email address and name and use this information to send you quarterly newsletters about our news and project updates. As explained upon sign up, we may also send you more regular newsletters if there is a specific piece of news or project update to share. Alternatively you can reach us through our contact form here: https://clarenasharchitecture.co.uk/contact/If interested in our services or agreeing to work with us on a project, we will usually ask for your name, address, telephone number, email address, project location and how you heard about us. We use these details to communicate with you throughout our working relationship and further if necessary, should there be reasonable interest in continued communication. Asking how you heard about us enables us to understand better our public presence so we may improve this in the future. We will only request personal bank details once already committed to a working relationship with you. Please get in touch if your contact details change and you would like to continue to hear from us, so we can keep them up to date. How do we keep your data safe and who can access it?CNA use Google Drive in order to store any project and employee related information and rely on their privacy policy to secure data we store there. We also have additional, off-line, backup storage where data is regularly and securely backed up to, completely separate from the cloud storage. We are fully aware who has access to this data and make certain that it is only accessible by employees of Clare Nash Architecture. Our team is given ongoing training and support on how to keep both hardcopy and digital information safe and secure, in whatever location they work in. Some of our projects may require us to share your data with relevant parties. If this is the case, we will seek and gain your informed and explicit consent before sharing it.  We will gather the personal information we store with reason and only store it for the time it is necessary. Regularly, we will review the data we have and delete that which is no longer needed for its original purpose or any other legitimate reason(s) e.g. legal or accountancy. Your data ownership rights As per the change in regulations, the ownership of data goes back to you. Therefore, you are in your rights to request to see your personal data we have gathered within the permitted time allowance. If your information is incorrect, please inform us and we will correct it. In addition, if requested by you and your information is no longer needed for legitimate reasons, CNA will cease to store it. We have systems in place to make certain this is done securely and thoroughly.
